This role is perfect for someone who enjoys bringing events to life, building relationships, and ensuring seamless execution—from planning through post-event reporting. You'll collaborate with internal teams, handle logistics, and use creativity (hello, Canva skills!) to enhance engagement.

Job Title: Hospitality and Event Coordinator

Event Planning & Execution

  • Collaborate with internal stakeholders to understand event objectives, preferences, and requirements.

  • Develop detailed event plans, including timelines, itineraries, and pre/post-event communication.

  • Coordinate vendors, suppliers, and contractors, ensuring seamless event logistics.

  • Ensure successful event execution, staying composed in fast-paced and sometimes unpredictable environments.

  • Troubleshoot and provide swift, solutions-focused resolutions to any issues that arise.

  • Oversee travel logistics, including airline bookings, hotel room blocks, and F&B programming.

  • Provide on-site event support when required, but travel is primarily for support rather than extensive hosting.

2. Administrative & Organizational Excellence

  • Maintain organization of event-related logistics, ensuring precise execution of administrative tasks.

  • Track event data, including attendance, engagement, and feedback, to curate meaningful post-event reports.

  • Ensure internal documentation, contracts, and event summaries are accurate and up to date.

3. Customer Service & Relationship Management

  • Deliver exceptional client service, anticipating needs and creating seamless hospitality experiences.

  • Build and nurture strong relationships with partners, vendors, and internal stakeholders.

  • Procure and personalize gifts and touchpoints to strengthen relationships.

4. Venue Selection & Management

  • Identify venues that align with event goals, budget, and logistical needs.

  • Negotiate contracts with venues, ensuring favorable terms.

  • Conduct site visits as needed and coordinate event setup with venue staff.

5. Communications & Branding Support

  • Craft engaging pre/post-event communication in collaboration with internal teams.

  • Ensure hospitality and marketing messaging aligns with company branding and event objectives.

  • Leverage Canva and other design tools to create visually appealing event materials and graphics.

  • Utilize social media and digital channels to enhance event engagement.

6. Post-Event Reporting & Insights

  • Collect and analyze data from events to generate actionable insights.

  • Prepare detailed post-event recaps and distribute internally to ensure visibility of outcomes.

  • Ensure data accuracy in Salesforce and other tracking systems.

  • Identify key learnings to improve future events and hospitality activations.

What You Bring (Qualifications)

  • Bachelor’s degree in Event Management, Hospitality, Business, Communications, or related field (or equivalent experience).

  • Proven experience in event planning, coordination, or hospitality operations.

  • Strong proficiency in Excel, Canva, and Adobe tools, with experience in CRM platforms.

  • Ability to stay calm, organized, and adaptable in fast-moving environments.

  • Strong administrative and organizational skills with attention to detail.

  • Willingness to work flexible hours, including evenings and weekends for events.

  • Ability to travel when needed (less than % of the role).

  • Baseline knowledge of sports teams, leagues, and live event industries.

  • Candidates must live in Houston, TX, and will be required to work in-office at Eventellect HQ.

  • Employees are provided with Windows-based machines.
